A spa looks calm from the outside. Behind the front desk, three things have to line up for every single treatment: a free therapist, a free room, and a time the guest can actually make. When any one of them is tracked in a notebook, a WhatsApp thread or someone’s memory, things slip.

This is a practical guide to running a spa or wellness centre in Nepal without those slips – whether you have one branch in Kathmandu or several across the valley.

1. Treat the therapist and the room as one booking

The most common spa mistake is booking a time slot without checking who and where. A guest is confirmed for 4 pm, but the therapist is on a break and the only free room is being cleaned. Good spa management software checks the guest, the therapist, the room and the time together, and refuses a booking that would clash. That is what conflict-free booking means in practice.

2. Let guests book without a phone call

Every booking that needs a phone call is a booking that competes with the call before it. Online booking lets guests choose a branch, a treatment and a time at any hour, and receive a booking number straight away. Your front desk then handles walk-ins and arrivals instead of answering the phone all day.

3. Put discounts through an approval step

Spas discount constantly: regulars, packages, slow afternoons. The risk is not the discount, it is the missing record. Have staff request a discount and let a manager approve it, with the amount logged. Our guide on discount leakage covers why this matters for margin.

4. Record payment at the point of service

If payment is written down later, the day never quite adds up. Record cash, card and online payments against the booking as the guest pays, including part-payments. At closing time you are confirming numbers, not reconstructing them. See what daily reconciliation should actually take.

5. Give owners one view across branches

Once you have a second branch, the owner needs one place to see bookings, staff and revenue for every location. Otherwise you are calling each branch manager for the same numbers every evening.

What this looks like in practice

Nuad Thai Spa in Kathmandu runs four branches, 39 therapists and 12 rooms this way – read the case study. If you want to see it for your own spa, explore Zennly for spas and wellness centres.
