Memberships, packages and gift vouchers all hold customer money in advance, so each needs its own balance and expiry that update automatically. A membership holds a wallet, a package holds a count of sessions for one service, and a voucher holds a value with a code. Tracking them in software keeps balances correct.

Prepaid products are great for a spa or salon: cash arrives early and customers return. They are also a common source of arguments. A client says they bought ten sessions, the notebook says eight were used, and nobody can prove which is right. The fix is not a better notebook; it is a record that updates itself.

Three products, three balances

Memberships

A customer pays in advance for a tier with a set amount and validity period. The balance is a wallet: deposits add, payments at checkout deduct. Because every change is a ledger entry, the balance always adds up. See memberships.

Packages

A package is a bundle of sessions for one service at a set price, such as six facials or ten massage sessions. Each visit redeems one session, and the record shows sessions left, status (unused, partial, fully redeemed or expired) and the amount still due. See packages.

Gift vouchers

A voucher has a unique code, a value and an expiry date. It can be used as a payment, including part of a split payment, and wallet-style vouchers can be claimed over several visits. See vouchers. Vouchers are not discount codes; for percentage promotions, use campaigns.

Festival and wedding season

Gift vouchers and packages sell well around Dashain, Tihar and the wedding season. That is exactly when staff are busiest and mistakes happen. Set up your products and expiry rules before the rush so staff only need to enter a code or tap a redeem button at checkout.

Rules worth setting

  • Who may top up, renew or adjust a balance (we suggest managers and admins only).
  • How long each product stays valid.
  • Whether a package can be used at any branch. Decide this before you sell it.
  • How corrections are recorded, so an adjustment is never silent.

Reconcile daily

Redeemed sessions and voucher claims are not cash, so they must not be mixed into the daily cash count. Recording each payment by method keeps the close clean. See daily reconciliation and payment tracking.

Common questions

What is the difference between a spa membership, a package and a voucher?

A membership is a prepaid wallet with a tier and validity period. A package is a bundle of sessions for one service at a set price. A voucher is a prepaid or gift value with a unique code. Each has its own balance.

Can a gift voucher be used over several visits?

Yes. Wallet-style vouchers in Zennly can be claimed over several visits until the balance is used.

Who can top up or adjust a membership in Zennly?

Top-ups, renewals and adjustments are limited to managers and admins. Staff can take payment from a membership at checkout.

What happens when a package expires?

The status shows as expired once the expiry date passes, so staff can see it before redeeming a session.
